Building Manager (m/f)

Corporate Real Estate & Services (CRES) in Luxembourg is looking for a temporary resource to handle the following tasks for a maternity leave replacement:

Facilities Management, Maintenance & Repairs

  • Point of contact with the landlord
  • Ensure regular maintenance is performed in line with regulatory and group requirements
  • Main contact for technical suppliers and services
  • Main contact for cleaning caretaking and follow-up

Building & rooms

  • Ensure high level of room service is provided for meeting rooms (including preparation, clean-up) and break areas. 

Office Management

  • Workplace Management
  • Sourcing - Contracts' management 
  • Organization of management events (Board of Direction and Management Committee meetings, etc) 
  • Supervise and help to the internal assistant on the following tasks:
  • Reception: Handle incoming calls and welcome visitors
  • Postal services
  • Provide taxi & transportation services
  • Invoice handling 
  • Expense note handling

SwissRe ad-hoc tools and reporting

  • Local Responsible for ContactOne within CRES division (customer service tools) – collaboration with peers and stakeholders
  • Local contact as Professional Solution Provider for SwissRe CRES network
  • Main contact for MySpend within CRES (SAP platform for invoicing)
  • Ensure documentation repository on Sharepoint – site owner 
  • ISO certification reporting and energy audit follow up

Safety & Security

  • Assistance to the S&S officer for security equipment maintenance – liaise with suppliers
  • Clear desk policy audits and follow up
  • Main contact for the security agency – ensure access control assistance and follow-up

Building Expansion

  • Manage moving part of the office to a new building and partial refurbishment of existing building
  • Coordinate with IT team and other stakeholders involved in the move


Reporting Line: Head Corporate Real Estate & Services France & Benelux, located in Paris

Local Team: one Internal Services Assistant

Temporary full time contract ideally from 01.05.2017 up to 31.12.2017.

Extension possible for 12 months on a part-time basis (50%).

A small, but dynamic team (2 employees) in the European headquarters of Swiss Re. This function will be within Corporate Real Estate & Services in the group Operations function. One other person, an Internal Services Assistant, who reports to Head CRES France & Benelux, is in the local team.


We are looking for a candidate with the following skills & experience:
  • Have a proven experience (Min. 5-6Y)
  • Have a proven knowledge/use of IT software's (daily use of Outlook and Microsoft web applications as Sharepoint)
  • Have excellent communication skills
  • Be detail oriented
  • Be able to work independently and target oriented
  • Be able to perform in an international fast moving environment
  • Be able to multitasking
  • Have excellent command of both English and French, German and Luxembourgish will be considered as an asset.

We are looking for a candidate with a proven experience in this area. An absolute criteria for the role is a good knowledge of the Luxembourg market. The candidate should hold an EU work permit.
