Administrative/Personal Assistant (Possible part-time contract - 80%)

As a result of the continuous increase of our activities, we are seeking for Luxembourg a:

 

Administrative/Personal Assistant

Possible part-time contract (80%)

Your tasks shall include:

  • Assisting the Secretary General and the General Secretariat department with day-to-day support such as monitoring all incoming mail and emails of the Secretary General and  answering the telephone
  • Managing the agenda of the Secretary General, arranging meetings and occasionally, organizing business trips
  • Preparing, printing and filing correspondence and documents (corporate documentation, contracts, etc.) and liaising with clients, lawyers, notaries, etc
  • Preparing the detail of client invoices
  • Maintain physical and electronic office records (filing and archiving documents, contracts, etc.)
  • Providing assistance to prepare client events and presentations
  • Organising board meetings and preparing board packs

 Requirements:

  • Education including, ideally, a formal secretarial/Personal Assistant training
  • Previous experience in a similar role would be an asset
  • Excellent command of French and English (written and spoken)
  • Good computer skills (Word, Powerpoint, Excel, Outlook)
  • You are discreet, very well organized, able to work independently and have good communication skills, displaying a positive and enthusiastic attitude
  • You are dynamic and proactive and you are able to work in a fast-paced environment, to multitask and to work with strict deadlines
  • You are precise, diligent and attentive to details
